IT bench: overflow for teams that already have admins

You already have admins. They are drowning in the work that is not why you hired them: mailbox migrations, laptop imaging, the SharePoint library that went feral, a vendor who only calls at 19:00. An IT bench is extra capacity beside them. They keep admin. We keep the queue moving.
This is the opposite of a takeover. If you have no internal hire, read Hands-off IT instead. Mixing the two in one slogan is how you get a contract nobody can explain in a year.
What “beside” means
Your lead still:
- Approves architecture changes
- Owns the tenant and the bill
- Tells the business what is allowed
We take:
- Overflow tickets past a threshold you set
- Project slices (tenant-to-tenant, file server to 365, a Wi-Fi refresh)
- After-hours that are written (not implied by a logo)
- Documentation your next hire can read
If your lead wants us to “just handle it” without remaining owner, we stop and re-scope. Silent ownership is how you get two sources of truth.
Why in-house teams call a studio, not another MSP poster
AERVIO already knows the site, CRM, and search if we built them. That matters when the “IT issue” is a form that stopped posting, DNS that broke mail and the website together, or an identity change that locked marketing out of analytics.
A generic bench that has never seen your repo will still reset a password. They will guess wrong when the failure is an application.
Rules of engagement we write down
Before the first ticket:
- Named accounts, no shared “admin@”
- What we may change at 02:00 vs what we freeze until 9:00 ET
- Where the log lives
- How your users tell us apart from phishing (a simple rule beats a poster)
Law 25 still applies to whatever we can see. Least privilege is not a slogan here; it is how we stay insurable and how you stay explainable.
Migrations without a war room aesthetic
File servers, mail, identity: we prefer a dull runbook, a weekend window in ET, and a rollback you have rehearsed. Heroic all-nighters are a planning failure. If the only window is Saturday, we staff Saturday — in writing, with a stop time.
After-hours without fake 24/7
24/7 SOC language on a small retainer is a lie. We offer defined coverage: for example weeknights until 22:00 ET, or on-call for mail and identity only. Everything else waits for morning. Your users deserve that honesty more than an icon of a shield.
How it feels after 90 days
Your admins should be doing the work you hired them for (the line of business, the product, the plant). The queue of “small Microsoft things” should be shorter. Restore tests should have dates. If none of that is true, the bench failed — we want that said in the QBR, not in a dashboard of closed tickets.

What a good overflow ticket looks like
Not “please fix Teams.” A ticket we can take:
- Who is affected (one person, a group, everyone)
- Since when (clock, timezone ET)
- What they already tried
- Whether production selling is blocked
Your users will not write that without a template. We give them four fields. Your lead should not have to rewrite tickets for us. If they do, the bench is costing more than it saves.
Projects vs overflow
Overflow is the queue. Projects have a start, a stop, and a rollback. Mixing them is how migrations happen “in the background” for six months. We will not start a tenant-to-tenant move as overflow. We will write a window.
If your lead wants both in one retainer, the proposal has two lines, two caps. Clarity is the whole product.
Culture: we do not hero-post in the company Slack
Status goes in the ticket, ping if blocked. We do not perform urgency. In-house teams already have enough theatre. Three postponed tasks is still the best email you can send.
Questions
Will you replace our IT lead?
No. If you want someone else to own the tenant, that is Hands-off IT, and it is a different contract. The bench assumes your admins stay in charge.
Can you just cover nights?
Yes, as a written slice: which systems, who escalates, what we may change without waking your lead.
Do you need VPN into everything?
We need the least access that can do the work, named accounts, and a log. God-mode shared passwords are a reason to pause, not a onboarding shortcut.
